Payments
An acceptable booking is once a completed Booking Form is received by us. Clearance of your cheque or credit card payment for deposit, being £100 / $175 per week, is received by us. If you pay by cheque these are made payable to: Irvine Bain.
Once the above conditions have been met, you will be emailed with confirmation. The remaining balance of the cost must be paid 8 weeks before your due departure. Should the full balance not be paid then we reserve the right to cancel your booking. Should this happen your reservation deposit will be forfeited.
Cancellations
Should the need to cancel your holiday be necessary, this must be emailed to us
not less than 8 weeks before your due date of departure.
All deposits are non-refundable. Should you cancel after full payment
is made no refund will be due.
However,
in the event that we are able to re-let the property for the same period a refund will
be made to you.
Security Deposit
A security deposit of $500 has to be paid to our management company no later than the day
after you arrive at our villa. This is to cover any breakages, losses or other damage etc.
Our management company are only 5 minutes drive from our villa and directions can be found in the villa. After completion of a satisfactory inspection by our Management Company there will be no
charge made against your credit card. If however the inspection is not satisfactory then
your credit card will be charged. We provide a Barbeque and gas FREE for your use. Failure to clean the Barbeque after use will incur a $25.00 charge against your credit card.
Party Size
It is Florida Law that everyone, including babies and small children, occupying a rental
property must be included on the Booking Form and that sub-letting is prohibited. All
persons included on the Booking Form should be responsible for the care of the property.
We do not, under any circumstances, accept bookings for parties consisting only of persons
under 21years of age unless accompanied by parents or responsible adults. We, as owners,
reserve the right to refuse admittance should this condition not be met. Should this be
the case, the booking will become void and no compensation will be paid.
Security of the Property
Please ensure that all doors/windows are locked upon leaving the property. Do NOT deadlock
the front door and leave the property via the garage. You will be locked out and you WILL
be charged for a locksmith to be called out to let you back into the property. Should you
have any accidents, please inform our Management Company who will then do their utmost to
rectify the situation.
Rental Charges
The weekly rate is per villa and not per person and is inclusive of electricity, water,
cable TV and air conditioning. We would point out to all guests that air conditioning
should NOT be switched on while external doors are left open. Not included in the rental
charges is pool heat. Should this be required there is a charge of £70 / $140 per week. This
is payable at the time of booking.
Directions
Once all monies have been paid you will be sent directions and instructions on how to pick up the keys. This will usually be 2/3 weeks prior to your departure date. You will have access from 4pm
on the day of your arrival and you must vacate the property before 10am on the day of your
departure. (Unless otherwise agreed with the owners).
Pool Area
Neither the owners nor the Management Company of the property accept responsibility for
injuries, personal or otherwise, loss or damage to persons or personal belongings however
caused. The use of all amenities including the pool is at the user’s own risk.
Children MUST be accompanied at ALL times when in the pool area. Florida State Law requires that a security fence is provided in all pool areas.
It is your responsibility to ensure that this remains in place where there are small children.
Florida State Law also requires property owners to supply plastic ‘crockery’
and utensils for use in the pool area and these have been supplied. Therefore NO glass or crockery
is to be used near the pool. This is for your convenience and safety, as in the event of a
breakage of such a piece, should the need to drain the pool be necessary, then you WILL be
charged for the said necessary drainage operation.
Please note that as our villa has a no smoking policy. Smoking is permitted in the pool area and ashtrays have been provided.
Insurance
It is strongly recommended that you take out Insurance for cover in the event that you have to
cancel your booking. We cannot be held responsible for any events beyond our reasonable control.
These include bad weather conditions, cancelled flights, illness for any third party claim,
personal injury, accidental damage or loss to you, your party or your belongings or for any
medical expenses however incurred.
Documentation
It is your responsibility to ensure that all passports, visas and health certificate requirements
are valid.
Problems / Emergencies
Should any problem arise with the property, pool, or lawns you must report said problem to
our Management Company and give them reasonable opportunity to rectify said problem. Contact details
for our Management Company can be found in the property. Please be informed though that should you
make an emergency call out at an unreasonable hour, and it turns out not to be an emergency, you may
be charged. No charges will be made in the event of a genuine emergency.
Code of Conduct
Please be aware that Highlands Reserve is a residential community and as such your actions and the actions
of all members of your party should not interfere with the enjoyment of other residents or indeed
their holidaymakers. Therefore, please do not use the swimming pool or play loud music or engage
in any activity, which may cause inconvenience to your neighbours after 10.30pm, or before 8.00am.
Should Highlands Reserve Home Owners Association receive any complaints, the owners of the property and their
Management Company reserve the right to terminate your agreement with immediate effect.
No reimbursements will be made. Neither shall the owners of the property nor their Management Company
be held responsible for any costs you incur.
